What Goes on an Office Moving Checklist?

The move is not finished when the last chair reaches reception. A useful plan gets furniture to the correct room and gives the people reconnecting the office enough time and information to work.

The short answer

An office-moving checklist should identify the inventory, destination floor plan, move coordinator, building access and the work handled by IT or other specialists. Label furniture and boxes by destination, agree on the moving scope, and plan the reopening around confirmed access and setup rather than the truck’s arrival alone.

Give one person authority to answer questions

Choose a coordinator who knows the layout and can approve changes on moving day. Name a backup and share both contacts with the building managers and moving team. Staff should know which questions go to that person rather than giving the crew conflicting directions.

Create an inventory by room or department. Include storage cupboards, shared equipment, meeting furniture and anything staying behind. Flag large or delicate equipment for assessment. A general commercial-moving booking does not establish that a specialist item can be handled.

Label the destination before packing starts

Use room numbers or workstation codes that match the new floor plan. Put the same code on the desk, chair and related boxes. Provide a printed plan at the unloading entrance so items can be directed to the correct place on the first carry.

Separate equipment needed to reopen from archive boxes that can wait. Keep the main walking routes clear in the new office. Avoid using a narrow lobby as a holding area for everything just because the destination rooms have not been labeled.

Arrange IT and records handling separately

Have your IT provider schedule disconnection, backups and reconnection. Ask how computers, displays and network equipment should be packed and labeled. Confirm which devices the moving crew will carry and which will travel with the technical team.

Follow your organization’s policy for confidential records and data-bearing equipment. Assign custody, containers and access accordingly. Do not place sensitive files in loosely labeled open boxes and assume a general moving crew will decide the appropriate handling process.

Build the schedule from access and reopening

Confirm loading docks, elevator windows, insurance-document requests and keys at both addresses. If you want an evening or weekend move, ask Major Movers about availability before announcing the date to staff. Building permission and crew availability both need to align.

After unloading, walk the site with the coordinator and compare the placement with the plan. Leave time for IT setup and a check of essential workstations before reopening. Ask the mover to clarify any remaining assembly or unpacking work against the original scope.

Before you confirm the move

  • Name the coordinator and backup.
  • Label items to match the new floor plan.
  • Schedule IT and confidential-records handling.
  • Confirm both buildings and reopening dependencies.

Common questions

General guidance. Your own route, date and access still need confirming directly.

Can Major Movers move an office outside business hours?

Ask about the specific date and hours you need. Availability and building access must be confirmed before the schedule is treated as booked.

Will the movers reconnect our network?

Do not assume that technical setup is included. Arrange it with your IT provider and confirm equipment handling with the movers.

How should desks and boxes be labeled?

Use the destination room or workstation code consistently, and give the crew a matching floor plan.

Who should be present on moving day?

Have an authorized coordinator available to answer access, inventory and placement questions, with a named backup if necessary.
